When do you need an agent, and when is simpler automation enough?

Three signs show that a task needs an agent: the work runs across several steps and several systems, and the cases differ from one another, so a decision is needed at each step. Typical examples are checking an incoming order, assembling a complaint case, or a monthly report from several systems. The agent then looks up the data, prepares the record or the reply, and hands the uncertain case to a colleague.

What should you ask the development firm for before the quote?

Ask for four things in writing, before you ask for a price.

The steps of the process, written down. Which step does the agent close on its own, and which does it hand to a colleague? If the firm does not ask you for this during the assessment, its quote stays an estimate.
The exception rule. What happens when the agent cannot decide: does it stop and hand over, or does it guess? Accept the first.
How logging works. Is there a log of every step and decision, so you can trace later where each value came from and where it ended up? You need it for the EU AI Act documentation as well.
The pilot metrics. How many cases the agent closes on its own, how many it hands over, and how much human time one case takes. You record the same three numbers before the pilot, so there is something to measure against.
