If the work stays inside Microsoft 365 and a person receives the result, Microsoft 365 Copilot is enough: meeting recaps in Teams, email drafts in Outlook, search across documents stored in SharePoint. If the process leaves Microsoft 365 — posting into an ERP or a CRM with no ready connector, running with no one at the keyboard, and expected to return the same result on every run — you need custom automation. Copilot Studio and Power Automate sit between the two. This article walks through the boundaries and prices of the three tiers, and closes with which kind of company to hire.

What is Microsoft 365 Copilot enough for on its own?

Microsoft 365 Copilot is an add-on license to an existing Microsoft 365 subscription; Microsoft's licensing page lists Business Basic, Standard and Premium plus the E3, E5 and F3 plans among the prerequisites. The user gets it in Teams, Outlook, Word, Excel and PowerPoint, and Copilot works from the data the user's account can already access.

In Teams meetings, a licensed participant can ask Copilot who said what, where people agreed, and what the next steps are. Use after the meeting requires transcription to be on; per Microsoft's Teams guidance, without a transcript Copilot works only for the duration of the meeting. In Outlook it summarizes long threads and drafts replies; in Word it produces a first version from material stored in SharePoint.

Web-grounded Copilot Chat comes with eligible Microsoft 365 subscriptions at no extra license; the work-grounded version built into Teams and the Office apps requires the Copilot license.

The common thread: in every case a person starts the work and a person reviews the result. Copilot does not post into the ERP, does not start on its own when an invoice arrives, and gets no more rights than the user already had. If your process looks like this, introducing Copilot is a licensing and training question, with no development.

When do you need Copilot Studio or Power Automate?

The second tier is automation built with Microsoft's own tools.

Copilot Studio builds agents: an agent answers from knowledge stored in SharePoint or Dataverse, appears in Teams, and triggers actions through connectors. Per Microsoft's licensing description, billing runs on Copilot Credits: a pack of 25,000 credits at a list price of $200 per month, or pay-as-you-go on an Azure subscription. If the user holds a Microsoft 365 Copilot license, agent answers used in Teams and SharePoint and searches grounded in company data consume no credits.

Power Automate runs workflows: a form arrives, lands in a SharePoint list, an approval goes to Teams, a notification to Outlook. Per the license types, standard connectors are available with a work account at no extra charge; premium connectors (SQL, SAP, HTTP, custom connectors) and desktop RPA need the Premium license at $15 per user per month, and an unattended bot needs the Process license at $150 per bot per month. A Premium user can run 40,000 actions a day.

This tier is enough when the process has an exact flowchart, the target systems have ready connectors, the run count is small or medium, and someone maintains the flows. Typical cases are an approval process in Teams, connecting a form to a SharePoint list, or an internal question-and-answer agent over the policies.

The limit is where the number and branching of flows grow: exception handling, testing and versioning get harder, every premium step asks for a license, and when the input is unstructured (a PDF invoice, a free-text email), the process needs a model that decides based on the input.

When do you need custom AI automation?

Four signals show that a process has outgrown Microsoft's tools.

  • The process crosses a system boundary with no ready connector, and posts. Matching an invoice to the order and booking it in the ERP, updating customer data in the CRM, moving data between two systems. Where the target system offers an API, we build an API integration; where it does not, we work with an RPA platform (Blue Prism, UiPath, Power Automate). No new permission is created: the system works with the account and the rights the colleague already used for the work.
  • The input is unstructured and variable. Invoices, contracts, free-text emails; on every item the model decides what it sees. That needs accuracy measurement, exception handling and a human review queue, which Copilot does not provide.
  • The data cannot go to Microsoft's cloud. If the customer contract or the regulation says the data cannot leave the company's infrastructure, the model runs on-premise or in a private cloud, with an open-source model. We laid out the decision criteria in the on-premise or cloud AI article.
  • High run count, logging and documentation. If the process runs a thousand times a month, every run must be logged, and the EU AI Act documentation must be produced, the system needs its own measurement and versioning.

A custom system does not replace Microsoft 365: it sends notifications to Teams or appears as a bot, reads documents from SharePoint under the existing permissions, and takes incoming mail from Outlook. The difference is on the far side of the process: in the ERP, the CRM, the invoicing system, where Copilot does not reach. What do the three tiers cost?

Microsoft's list prices as of August 2026, in dollars, on annual subscription:

  • Microsoft 365 Copilot: $30 per user per month. Microsoft 365 Copilot Business, for companies with up to 300 users, lists at $21, discounted to $18 through the end of December 2026.
  • Copilot Studio: 25,000 credits in a $200-per-month pack, or usage-based billing.
  • Power Automate Premium: $15 per user per month; the Process license $150 per bot per month.

Custom automation is a one-time build plus monthly operations. With us, the assessment starts from HUF 500,000 + VAT, an AI assistant or integration typically runs €15-40K, and a document processing system €30-80K. The crossover depends on headcount and the run count of the process: at 20 users, Copilot's annual fee is a fraction of a custom system's price; for a process handling about 2,000 invoices a month, the custom system is the one that pays back, because there the Copilot license does not do the work at all. How do you decide for a given process?

Four questions are enough for a first round.

1. Where does the data originate, and where does it go? If both ends are inside Microsoft 365, Copilot or Power Automate; if an ERP, a CRM or an external system without a ready connector is involved, integration.

2. Who starts it, and who checks the result? If a person asks and a person reviews, Copilot; if an event or a schedule starts it and nobody reviews each run, automation with exception handling.

3. Is the input structured? Forms and lists: Power Automate; PDFs, scanned documents, free text: an AI model with measured accuracy.

4. How many runs, and is a log required? A few runs a day: Microsoft's tools; thousands and auditability: a custom system.

Which company should you hire to automate Microsoft 365 and Teams processes?

The answer depends on the tier above. If the work stays inside Microsoft 365, look for a Microsoft partner that handles licensing, the Copilot rollout and the Power Platform flows; Microsoft's partner directory lists these companies. If the process reaches into an ERP, a CRM or an invoicing system with no ready connector, the input is unstructured, or the data cannot go to the cloud, look for an integrator that builds API and RPA alike and measures accuracy.
